A hand signing a printed letter with a fountain pen

A visa cover letter is a 1-page letter you write and sign yourself, telling the consulate why and when you are traveling, where you will stay, who pays and why you will go home. No EU or UK rule requires one as of October 2026, but some consulate checklists list or recommend it. For a Schengen or UK application, this page gives you what goes in it, a fill-in template and 2 complete samples, one for each.

What a visa cover letter is

A cover letter is your own account of the trip in plain sentences, ending with a numbered list of everything enclosed. The officer checks the plan against the evidence; on its own, the letter proves nothing.

Other letters in the file come from other people. If you stay with family or friends, your host writes a letter inviting you to stay, and your cover letter should give the same address and dates. If someone else pays, they sign a letter promising to cover your costs, backed by proof of their own funds, and your letter says so in 1 sentence.

The cover letter replaces nothing: you still file the passport, insurance and bank statements the consulate asks for, and the letter points the officer to each one.

Build the letter on those 4 points, with 1 paragraph each on the trip, where you stay, the money and why you will come back.

Is a cover letter required for a visa?

Not under EU law: the nearest Annex II item is “any other appropriate document indicating the envisaged travel plans”. Whether you need one depends on the consulate’s own checklist.

Does the consulate ask for a cover letter? As of October 2026
Where you apply Checklist Cover letter What the checklist says
Germany (missions in India) Tourism, dated February 2023 Listed Item 5: a personal covering letter, with proof of transport and itinerary
Italy (VFS London) Tourist checklist Recommended “It is recommended to provide a cover letter”; also a letter if someone else drives you, and one for a multiple-entry visa
Netherlands Tourism Not listed An employer statement plus 3 months of bank statements or payslips
Switzerland (India) Tourist Not listed An employer introduction letter with a no objection statement; only the documents on the checklist are accepted
Denmark Online application A form you sign The “cover letter” is a printout of your application with its reference number; you read and sign the last 2 pages
United Kingdom gov.uk visitor guide, updated 8 October 2026 Not listed Recommends information about your circumstances at home and your activity in the UK

Where the checklist is silent and does not limit you to the documents it lists, the letter is optional. It helps most when the file needs explaining: a route through 2 or more countries, someone else paying, a recent change of job or a past refusal.

Who to address a visa cover letter to

Address it to the consulate of the Schengen country that decides your application. Article 5(1) of the Visa Code sets that in 3 steps: your only destination; with several, the main destination by length of stay, counted in days, or by purpose; and with no main destination, the country whose external border you cross first. A trip with 7 nights in Italy and 5 in France goes to Italy.

Write “To the Visa Section, Consulate General of Italy in London”, or the embassy that covers where you live, even if you hand the file in at a VFS Global or TLScontact center. Under Article 43(4) and (6), only the consulate examines and decides applications; the center collects them. For the UK, address it to UK Visas and Immigration.

What to include in a visa cover letter

Work through these parts in order:

  1. Your details: full name, home address, phone, email and passport number.
  2. Place, date and addressee: where and when you sign, then the visa section of the embassy or consulate.
  3. A subject line: the visa type, the purpose and the travel dates.
  4. Who you are: nationality, where you live and on what status if it is not your own country.
  5. The trip: why you are going, the dates and the nights in each place. With more than 2 stops, keep the letter to 1 line per place and put the day-by-day detail in a separate itinerary you attach. For business, name the company you are visiting.
  6. Where you stay: hotel names, or your host’s name and address.
  7. Who pays: your income and savings, or your sponsor and what they cover, with the trip cost.
  8. Why you will return: your job and the leave your employer confirms in writing, plus family, property or studies at home and past visas you used.
  9. Enclosures and signature: a numbered list in the order the file is stacked, then your signature and printed name.

Type it, keep it to 1 page and sign it by hand. Use numbers: “my net salary is £3,420 a month” tells the officer more than “I have a stable income”. For the UK, write it in English, since any document not in English or Welsh needs a full translation.

Short-stay Schengen visa (tourism), 8 to 20 May 2027

Dear Sir or Madam,

I am a Nigerian citizen living in London on a UK Skilled Worker visa valid until 14 September 2029. I apply for a single-entry Schengen visa for a holiday in Italy and France from 8 to 20 May 2027.

Trip. I will fly from London Gatwick to Milan on 8 May and spend 3 nights in Milan and 4 in Venice. On 15 May I fly to Nice for 5 nights, and on 20 May I fly home to London. I apply to Italy because 7 of my 12 nights are there. I will stay in hotels, listed in the enclosed itinerary.

Work. I have worked as a quantity surveyor at Harlow Brook Consulting Ltd since March 2022, on a permanent contract with a net salary of £3,420 a month. My leave from 10 to 20 May is approved, and I return to work on 21 May 2027.

Funds. I will pay for the trip myself. Flights cost £236 and hotels £1,180, and I have set aside £900 for food, transport and entry fees. My current account balance on 31 March 2027 was £7,850.

Return. Besides my job, I hold a tenancy on my London flat until February 2028. In 2025 I used a Schengen visa from Spain for a 6-day trip to Barcelona.

Enclosed:

  1. Application form, signed
  2. Passport, with a copy of my previous Schengen visa
  3. Proof of my UK Skilled Worker status
  4. Flight reservations and hotel bookings for 8 to 20 May 2027
  5. Day-by-day itinerary
  6. Travel medical insurance with €50,000 of cover, valid in all Schengen countries from 8 to 20 May 2027
  7. Employer letter dated 1 April 2027, and payslips for January to March 2027
  8. Bank statements for January to March 2027

Yours faithfully,
Chinedu Okafor (signed)

The letter carries no argument, only facts the officer can tick off: every date matches the insurance and the bookings, and the 7 nights in Italy explain why he applies there.

Cover letter for a UK visitor visa

A UK Standard Visitor visa has no cover letter on its official list either. The gov.uk guide to supporting documents, updated 8 October 2026, says you show 4 things: that you are coming for a permitted activity, will leave at the end of the visit, can support yourself and any dependants, and can pay for your return or onward journey. It also recommends giving information about your circumstances at home and what you will do in the UK, which a letter in that order provides.

The same guide lists hotel bookings, flight bookings unless you are transiting, and travel insurance among the documents that are less useful as evidence, so the letter leans on your job, income, savings and family. The online form already asks for your dates, where you will stay, what the trip will cost and what you earn in a year, so use the same figures in the letter.

The visa costs £135 for up to 6 months, as of October 2026. You can apply no earlier than 3 months before you travel and usually get a decision within 3 weeks.

To: UK Visas and Immigration

Standard Visitor visa application: tourism, 7 to 21 August 2027, passport number AK0482917

Dear Sir or Madam,

My circumstances in Kenya. I am a Kenyan citizen and have worked as a civil engineer at Mwangaza Structural Engineers Ltd in Nairobi since January 2020. My gross salary is KES 310,000 a month, KES 3,720,000 a year, as entered in my application. I live with my husband and our 2 children, aged 6 and 9, who stay at home while I travel.

What I will do in the UK. I plan a 14-night holiday: 8 nights in London, visiting museums and a friend from university, then 6 nights in Edinburgh. I will stay in hotels and will not work or study.

How I will pay. I will pay from my own savings. I estimate the total cost at £3,100 for flights, hotels, transport and daily spending, the figure in my online application. My savings account shows a balance of KES 1,840,000, and my current account shows my salary paid in each month.

My return. I fly back to Nairobi on 21 August 2027. My leave from 6 to 22 August is approved, and I return to work on 23 August.

Enclosed:

  1. Current passport, and my previous passport with a UK visit visa issued in 2023
  2. Employer letter on headed paper confirming my role, salary, start date and approved leave
  3. Payslips for February to April 2027
  4. Savings and current account statements for the last 6 months
  5. Marriage certificate and my children’s birth certificates

Yours faithfully,
Grace Wanjiru Kamau (signed)

The letter names no booking references and encloses no insurance. Its evidence is the job, the money and the family at home.

Mistakes that weaken a cover letter

A cover letter cannot carry an application on its own, but it can hurt one by contradicting the file. Check for these before you sign:

  • Numbers that differ from the documents: a trip cost, salary or balance that is not the one on your payslip, statement or online form.
  • Promises without evidence: “I will certainly return” means little next to a return date, approved leave and a tenancy agreement.
  • A copied sample: an employer, route or leave dates lifted from someone else’s letter.
  • Padding: 3 pages of background add reading without adding evidence.

How to write and submit your cover letter

7 steps from the checklist to the appointment

  1. Find the checklist of the consulate you apply to, and see whether it lists, recommends or leaves out a cover letter.
  2. Gather the documents first: bookings, insurance, employer letter, payslips and bank statements.
  3. Write the letter from those documents, copying every date, city and amount across exactly.
  4. List every enclosure in the order you will stack the file.
  5. Print it, sign it by hand and date it close to the day you lodge the application, which for a Schengen visa is no more than 6 months and, as a rule, at least 15 calendar days before the trip.
  6. Put it on top of the file, or upload it with your supporting documents if you apply online.
  7. Keep a copy and reread it before the appointment, in case the officer asks about the trip.

Frequently asked questions

Is a cover letter mandatory for a Schengen visa?

No. Neither the Visa Code nor its Annex II list of documents a consulate may ask for names one. Some consulates add it: Germany's missions in India list a personal covering letter, and Italy's London checklist recommends one.

Do I need a cover letter for a UK visitor visa?

No, the gov.uk guide to supporting documents for visitors does not list one. It does recommend giving information about your circumstances at home and what you will do in the UK, and a 1-page letter is a simple way to give it.

Can I use ChatGPT to write a visa cover letter?

Yes, for the wording, but every fact in it has to come from your own documents. Neither the Visa Code nor the gov.uk visitor guidance has a rule on how the letter is drafted. The risk is a date or amount that does not match the file.

Is a visa cover letter the same as an SOP?

No. A statement of purpose is a longer essay about your studies and career plans, used in university and study applications. A cover letter for a short visit is a 1-page summary of one trip and the documents behind it.

Should I mention a previous visa refusal in my cover letter?

Yes, in 1 or 2 factual sentences: when, which country and what has changed since. A Schengen refusal comes on a standard form that gives the reasons, so name the reason and the document that now answers it, such as a longer bank history or a new employer letter.
